Signature Aesthetics — Nottingham
Privacy Policy
How Signature Aesthetics collects, uses and looks after your personal information, including the health information we need to treat you safely.
This policy explains what we collect when you contact us, book online, have a consultation or treatment, or use this website, what we do with it, and the choices you have. We've kept it as short and plain as we can.
Who We Are
Signature Aesthetics is the trading name of Signature Aesthetics (Nottingham) Ltd, a private limited company registered in England and Wales, company number 17231602. Our registered office and clinic is at 6 Oxengate, Arnold, Nottingham NG5 6FY.
The company is run by its director, Lyndsey Burgin, who carries out every consultation and treatment.
Signature Aesthetics (Nottingham) Ltd decides how your personal information is used, which makes it the “controller” of that information under UK data protection law.
If you have a question about this policy or your information, the easiest way to reach us is through the contact form. You can also call 07432 082578.
The Information We Collect
When you send a message through this website
The contact form asks for your name, email address, phone number and your message, such as the treatments you are interested in and the best time to call you back.
When you book online
Online booking is provided by Faces Consent. When you book, it asks for your name and contact details and records the treatment, date and time you choose. Your consultation and consent forms may also be completed through Faces Consent. If a deposit or payment is taken when you book, it is processed by Faces Consent's payment provider, and we never see your full card details.
When you call, text or message us
We'll have your phone number and anything you tell us in a call, voicemail, text or WhatsApp message. If you message us on Facebook or Instagram, those messages are also covered by Meta's own privacy policy.
When you have a consultation or treatment
We keep your contact details, confirmation that you are 18 or over, and a record of your appointments and treatments. Before any treatment we ask about your health so we can check the treatment is safe for you. This includes:
- medical conditions, allergies and any medication you take
- pregnancy or breastfeeding
- previous aesthetic treatments, including any filler you have had elsewhere
- your consent forms, and notes of each treatment, including the products used and the areas treated
With your permission, we may take photographs of the treated area before and after treatment, to plan your treatment and check your results at review. They are part of your confidential record. We will never use them on this website or social media unless you have given separate written permission, and you can withdraw that permission at any time.
Health information is a special category of personal information. We only record it with your explicit consent, and we keep it confidential.
When you visit this website
Like most websites, this one records basic technical information, such as the type of device and browser you use and the pages you visit. See Cookies below.
How We Use Your Information
We only use your information where the law allows us to:
- To reply to your enquiry and arrange your appointment, because you have asked us to.
- To carry out a safe consultation and treatment, and keep records of it, so we can provide the service you booked. We record health details only with your explicit consent.
- To arrange a prescription where a treatment needs one, so the prescriber can assess whether it is suitable for you.
- To send booking confirmations, reminders and review appointments, so you have the details of your appointment.
- To keep business and tax records, because the law requires us to.
- To deal with a complaint, a complication or an insurance claim, because we have a legitimate interest in protecting you and the business.
- To see how visitors use this website, so we can improve it. See Cookies.
We won't send you marketing messages unless you have asked to receive them, and you can stop them at any time. We never sell or rent your information to anyone.
Who We Share It With
We only share your information where it is needed to run the business or to treat you safely:
- The company that hosts this website and its contact form, which passes your message on to us.
- Faces Consent, which runs our online booking and consent forms and stores your bookings.
- The independent prescriber who assesses you, and the pharmacy that supplies a product prescribed in your name, where a treatment needs a prescription.
- Google, which provides the website statistics, the spam protection on the contact form and the Google reviews shown on this site.
- Mapbox, which provides the map on this website, and WhatsApp, if you choose to message us that way.
- Our accountant and HM Revenue & Customs, for financial records.
- Our insurer or legal adviser, only if there is a claim or complaint.
- Your GP or another healthcare professional, only with your agreement or in an emergency, for example if we need to check that a treatment is safe for you or you need medical care after a treatment.
- Anyone the law requires us to share it with.
Some of these providers store information outside the UK. Where they do, they use the safeguards UK law requires for international transfers.
How Long We Keep It
- Enquiries that don't lead to a booking: up to 12 months.
- Client and treatment records, including health information, consent forms and photographs: 7 years after your last treatment, in line with what professional insurers require.
- Financial records: 6 years from the end of the financial year they relate to, as company and tax law requires.
After that, paper records are shredded and digital records are deleted.
Keeping It Safe
Paper records are kept locked away, and digital records are kept on password-protected devices and accounts. Only the practitioner treating you, and the prescriber where a prescription is needed, see your treatment records and photographs.
Your Rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that is wrong or incomplete
- ask us to delete your information, unless we have to keep it by law
- ask us to limit how we use it, or object to how we use it
- ask for information you have given us in a format you can take elsewhere
- withdraw your consent at any time where we rely on it, such as for health information or photographs
To make a request, send us a message through the contact form or call 07432 082578. There is no charge, and we'll reply within one month.
Cookies
Cookies are small files a website saves on your device. This website uses:
- Essential cookies that make the site and its contact form work. These include Google reCAPTCHA, which stops spam being sent through the form.
- Statistics cookies from Google Analytics and from the website platform itself, which count visits and show which pages people find useful. They give us overall figures, not who you are.
- Cookies from embedded services: the map, the Google reviews and the WhatsApp button may set their own cookies when they load. Faces Consent sets its own cookies when you open the booking page.
These cookies are set when the page loads. You can block or delete cookies in your browser settings, and you can turn off Google Analytics with the Google Analytics opt-out browser add-on. If you block essential cookies, the contact form may not work.
Complaints
If you're unhappy with how we have handled your information, please tell us first, through the contact form or by calling 07432 082578. We'll acknowledge your complaint within 30 days, keep you updated while we look into it, and let you know the outcome.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator. You can call the ICO on 0303 123 1113 or complain online at ico.org.uk/make-a-complaint.
Changes to this policy
If we change how we use personal information, we'll update this page.
